This guide gives an overview on how the GDPR workflow for Microsoft Dynamics works and provide links to other relevant articles. For further tips on GPDR from Concep, please visit LoveGDPR.com.
Please note, this is not an exhaustive tool and further processes will be required for your firm to become completely GDPR compliant.
What is it?
Concep’s GDPR workflow for Microsoft Dynamics is an add-on which works in conjunction with Concep Send for Microsoft Dynamics. It provides out-of-the-box workflows and dashboards that will help you monitoring your consent capturing campaigns.
How does it work?
Like the event registration workflow, the consent workflow relies on Surveys and campaign responses to manage to consent status. As part of the package we have introduced 2 new options of response code (Consented and Withdrawn) which should be used when building the consent survey. Like in the event registration workflow, the response codes get updated by the integration changing its status to consented or withdrawn triggering a Dynamics workflow that automatically updates the contact 'Consent' and 'Do not allow bulk email' fields.
The consent status of your campaign can be manged from 'Consent Report' form available within the Campaign.
- Concep Send for Microsoft Dynamics solution v1.4 or above installed
- Microsoft Dynamics v7.0 or above
What is included in the solution?
Once imported the GDPR workflow for Microsoft Dynamics solution will add the following customisation to your environment:
A consent field was added to the contact entity. It is an option set field (dropdown) with a blank, consented and withdrawn options. This field is hidden by default ( Click here to learn how to add fields to forms)
Campaign Response entity
3 new responses code options were added: emailed, consented, and withdrawn.
A new form was added to the campaign entity. This form works as a dashboard where users can manage the consent capturing status.
To have contacts automatically updated with their consent status a workflow was built and added to this solution. The workflow is triggered when a campaign response is created or updated and its response code is equal to consented or withdrawn. It will then update the contact Consent field and the 'Do not allow bulk email' accordingly. This workflow is deployed as active so it works out-of-the-box.
How to install it?
Like any other solution you only need to import it into your Microsoft Dynamics CRM and it is ready to use. Check here how to import a solution.
